Case study

317 postings checked, 3 worth reading, every reply tracked

We built two n8n workflows that work as a pair. One checks public job boards every morning and scores the best fits with AI. The other watches Gmail for replies and reminds us when a follow-up is due. It's the same find, qualify and follow up pattern every service business needs for its leads.

The reminder: one follow-up due. Nothing was sent to anyone else.

The starting point

Checking five job boards by hand every day meant reading hundreds of listings to find a handful worth acting on, then remembering who had replied and who needed a nudge. It's the same problem a contractor has with leads: too many to read, and follow-ups that slip through.

What we did

  1. Fetch and filter at 8 AM

Pulls SEO, WordPress and web admin roles from five free boards (Remotive, RemoteOK, Jobicy, Himalayas and Working Nomads), keeps the last 7 days and drops region-locked posts, test or video requirements and pay below the set minimum.

  2. Skip what's already been seen

Reads the Google Sheet and skips any posting already saved, scoring at most 40 new ones per run.

  3. Score fit with AI

Claude Haiku scores each posting from 1 to 10 against the live resume and flags mismatches. Scores of 5 or more are saved as New, and one digest email explains each score.

  4. Watch Gmail for replies at 9 AM

For each application, the tracker searches the inbox by contact email, then company domain, then company name. A name-only match is flagged as possible, for a person to confirm.

  5. Update the sheet and remind

Replies are marked with date and subject. After 5 days with no reply, the status changes and a single reminder email lists the follow-ups due.

What's still open

Like the lead finder, this is our own workflow, not a client result. The rules are strict on purpose: the tracker only reads and reminds, and every follow-up is still written and sent by a person.

How this was measured

Counts from the October 19, 2026 digest and the n8n execution logs for October 20 to 21, 2026. Cost from the workflow's usage log: 4 Claude calls, 15,026 input and 2,728 output tokens. Screenshots are from the live workflows, with personal details blurred.

This work was led by Carlito Luaton, founder of Map Peak Digital. It's the same process our missed call text back follows.
